Complete requirements and guidelines for authors submitting research to SSU-IHREC
Requirements for Submission
1. Ethical Review and Compliance
- All research involving human participants must undergo ethical review and approval by SSU's IHREC or PHREB.
- Informed consent must be obtained from all participants, and consent forms must be signed and documented.
- Compliance with the **Philippine Data Privacy Act (R.A. 10173)** is mandatory, and data handling must align with privacy standards.
- Ensure all relevant ethical approvals are obtained from institutional review boards, particularly if conducting clinical, social, or biomedical research.
- Research involving vulnerable populations (minors, indigenous groups, etc.) must obtain additional ethical clearance and local community consent.
2. Required Documents
- Completed **Ethical Clearance Application Form** from IHREC.
- Research **Protocol** outlining objectives, methodology, and ethical considerations.
- **Informed Consent Forms** for each participant, including any language translations where necessary.
- For research involving health data, include a **Data Management Plan** that complies with PHREB guidelines.
- Approval from local communities or stakeholders (if applicable), such as **local government units** for indigenous studies.
3. Research Compliance Check
Ensure compliance with the following principles during your research:
- **Respect for Persons**: All participants must give informed consent voluntarily and be fully aware of the nature of the research.
- **Beneficence**: The research should aim to minimize risks and maximize benefits for participants.
- **Justice**: The selection of participants should be fair, and the risks and benefits of participation should be equally distributed.
Submission Workflow
1. Initial Submission
The researcher submits the following documents to SSU's Research Ethics Office for review:
- Ethical Clearance Application Form
- Research Protocol
- Informed Consent Forms and Data Management Plan (if applicable)
- Letters of approval from stakeholders or communities
2. Ethical Review Process
After submission, the following steps occur:
- The **IHREC/PHREB committee** reviews the research proposal, ensuring it meets ethical standards and guidelines.
- If necessary, **clarifications or revisions** are requested from the researcher (e.g., improvements to consent forms, clarification on ethical considerations, etc.).
- Once the **committee approves** the research, they provide a formal **ethics approval** document, which must be included in all research publications and reports.
3. Research Implementation and Monitoring
Once approval is granted, the researcher can begin the study under the following conditions:
- Follow the approved protocol, ensuring participant safety, confidentiality, and the voluntary nature of participation.
- Provide **progress updates** to the IHREC as required, especially if any ethical concerns or deviations from the original plan arise.
- **Final reports** must be submitted to IHREC for review, including documentation on ethical compliance and any challenges faced during the research.
4. Post-Research Reporting and Compliance
Upon completion of the research, ensure the following:
- **Final research report** submitted to IHREC/PHREB with evidence of compliance with ethical standards.
- **Participant consent withdrawal process** documented if any participants choose to withdraw from the study.
- If any **adverse events** occur during the research, they must be immediately reported to IHREC/PHREB for assessment.
Ethics Approval and Certification
Once the ethical review process is completed, the researcher will receive an **Ethics Approval Certificate** that must be included in all publications or reports arising from the research.
This certificate confirms that the research was conducted according to the highest ethical standards and in compliance with the **Philippine Ethical Guidelines** set forth by IHREC and PHREB.
The researcher must ensure that all ethical requirements are followed throughout the research process and that they continue to uphold the rights and safety of participants.
